The first questions related to the RFP for the 21st CCLC have begun to come in. In some cases, we have collapsed related questions into one. Hopefully, these answers will help you as you prepare your proposals.

How long do middle and high school clubs meet?
 

Clubs meet one or two times per week for six weeks.  Secondary after school programs meet for 3 hours and fifteen minutes per day.  There is homework time incorporated into each meeting.  Specific enrichment schedules will be determined per site once a proposal has been accepted.


When again is the due date for proposals?   

Due date for proposals is January 5th.


I would like to just attach this as an addendum to my original proposal--or will I have to submit a totally new proposal?
 
If you are making alterations to a proposal that has been previously submitted, you may attach changes or modifications as an addendum.


Will there be any staff supervision provided?  What is the average number of participants at a given site?
For each school site, you can expect 10 to 12 students per programming staff. There is also one Site Coordinator who is not involved in direct supervision of students but coordinates the logistics of the on-site programming.

Are there past programs published somewhere that I could peruse for a guide?

No, we don’t share proposals. However, referring to the RFP document on-line should help with preparing your own proposal and what we are looking for.

Does programming have to happen on a KPS site? Could any of our programs happen at our location? If so, is off-site programming seen as as a good or not so good?
Off-site programming is the exception rather than the rule. Program resources are not focused for off-site programming or transportation costs that might be involved with making this possible. That said, if you have a creative means (ie., “our organization has a van and trained driver”) for making this opportunity a reality, include this in your proposal. 

As far as days and times, what are the timeframes we should propose?

You can propose scheduling that works best for you, keeping in mind that the elementary sites will be offering 2.5 hours of afterschool programming Monday through Friday and that secondary sites will be offering 3.0 hours of afterschool programming Monday through Thursday. If your proposal is selected, we will direct you to the appropriate site coordinator(s) to work out scheduling details. 

Can an RFP be written for one school year or do we need to write one for each subsequent round? What is the most desirable length of programming, based on your experiences?
Yes, an RFP can propose programming until the end of this school year. There is no need to write one for each round unless you are proposing different programming. As for a desirable length of programming, we have found that, generally, six week cycles work well, particularly with the club model at the secondary level.

Is there a cost for the on-line YPQA training for our staff in the proposal
There will be no cost for staff members involved in an accepted proposal who are interested/willing to participate in on-line training of YPQA.
